Administrative Office

The Administrative Office is a general department responsible for the administrative and support services management of the entire Institute of Modern History. Its mission is to provide support for research projects, for researchers and for the lives of staff members, as well as to work hard to create an excellent research environment for the Institute.

Duties of the Office are:

· Preparing the annual budget, reconciling final accounts and routine management of all funds.

· Sending notices, taking notes, editing and releasing meeting summaries for meetings of the Institute Affairs committee, for the director’s working meetings and for administrative support meetings.

· Drafting, formulating and implementing rules and regulations concerning administrative and support service management.

· Editing and releasing work bulletins, and drafting or examining official documents to be sent out in the name of the Institute.

· Safeguarding and applying the Institute’s seals.

· Handling communications, receiving and dispatching documents and letters, delivering messages, handling official documents, safeguarding confidential documents and maintaining archives.

· Helping to prepare for and provide support services for all kinds of academic conferences.

· Purchasing, managing, operating, repairing and allocating the Institute’s fixed assets, such as real estate, materials, vehicles, scientific research instruments, stationery, etc.

· Refurbishing and renovating the Institute’s physical plant.

· Organizing public health services, family planning, voluntary blood donations, staff benefits, sanitation, tree planting, electricity and water conservation.

· Repair and management of plumbing, electrical systems, elevators, telephones and other facilities in the office building and areas belonging to it.

· Security and fire prevention for the compound at No. 1, Dongchang Hutong.

· Property management of the No. 1 Dongchang Hutong building and its facilities.

· Maintaining the regular function of all equipment in the office building, and handling other work assigned by the Institute leadership.
